Privacy policy

This policy explains what information TenderDocs (“we”, “us”), operated by Sanjivani, collects when you use the TenderDocs application, why we collect it, and the choices you have. We keep it deliberately short and plain. If anything here is unclear, write to us at info@sanjivanimt.com.
The short version
- We only collect what the tool needs to work: your account details and the documents you upload.
- Your documents are processed on our own server — merging, splitting, compressing and OCR all run locally. Files are never sent to any outside service.
- We do not sell your data, and we do not use advertising or third-party tracking cookies.
Information we collect
Account information
When an account is created for you we store your name, your email address and a password. Your password is never kept in readable form — it is protected with a one-way hash (Argon2id), so not even we can see it.
Documents and files you upload
To do its job, TenderDocs stores the PDFs, images and other files you add to a tender, to the briefcase, or to the PDF tools. Files kept as part of a tender or briefcase remain until you delete them. Files handed to a one-off tool (merge, split, compress, OCR) are temporary working copies and are removed once processing finishes.
Basic technical information
Like most web applications, our server keeps short-lived logs (for example the time of a request and error details) to keep the service running and secure. A small number of strictly necessary cookies keep you signed in — see our Cookies page.
How we use your information
- To sign you in and keep your session secure.
- To store your tenders, checklists and briefcase documents so you can come back to them.
- To run the PDF tools you ask for on the files you provide.
- To diagnose problems and keep the service reliable and secure.
We do not use your documents to train any model, and we do not share them for advertising.
Where your data is stored
Your account details are held in our database and uploaded files are stored on our server, outside the public web folder, under randomly generated names so they cannot be guessed from a link. Processing happens on the same server; documents are not transmitted to external third parties to be read or converted.
How long we keep it
We keep account and document data for as long as your account is active or until you delete the item. Temporary files created by the PDF tools are deleted straight after the operation. If your account is closed, its data can be removed on request.
Sharing
We do not sell or rent your information. We only disclose it where we are legally required to, or where it is necessary to protect our rights or the safety of others. Any technical service provider we rely on to run the application is bound to handle data only on our instructions.
Your choices and rights
- You can view and update your account details after signing in.
- You can delete tenders, briefcase documents and uploaded files yourself.
- You can ask us to correct or delete your personal information, subject to any records we must keep by law.

Security
We take reasonable steps to protect your data, including hashed passwords, encrypted connections and access controls. You can read more on our Security page. No system is perfectly secure, so please keep your password confidential.
Children
TenderDocs is a business tool and is not directed at children under 18.
Changes to this policy
We may update this policy from time to time. When we do, we will change the “last updated” date above. Continuing to use TenderDocs after a change means you accept the revised policy.
